Management Web Portal User Guide

The Management Web Portal is for use in conjunction with the Pro Certs Electrical Certification Software for multi-user accounts. The Management Web Portal is only really needed if you have more than 1 electrician (user).

The Portal enables you to manage your account, company information, clients and engineers.

Management web Portal

Features include,

  • Set up your company details and logo.
  • Set up your company settings and push to all devices in one go.
  • Add, setup and manage your Users, Clients and Installation Addresses.
  • Purchase seats (subscriptions) for your Users.
  • Assign and/or move certificates between Users and/or the QS.
  • Set up new certificates and allocate to an engineer.
  • Audit log.
  • Cloud sync.

The Account Holder is the person who initially signs up for an account. The Account Holder has full unrestricted access to the Portal and all of its features, they can also purchase subscriptions and add additional users.

Additional users can have the User Roles of Company Admin, Engineer or QS. The Account holder can also allocate themselves a seat (subscription) for access to the Pro Certs (electrical certification) App if they need to.

While you can set up a new certificate (optional) within the Portal, you can only access and edit certificates from the actual Pro Certs App.

User Guide

 The order of the list below is setout in the order (top to bottom) we suggest reading in.

When you first sign up a verification email will be sent, if you don’t receive a verification email within a timely manner check your spam box.

If you do not receive a verification email at all (some ISP’s block auto emails), email us at support@pro-certs.com from the email address you signed up with, and we will manually verify it for you.

Once you have verified your email address you can log in to the Management Web Portal and start adding your company information and add additional users.

Definitions

  • User = A person with log-in credentials to the App or Portal.
  • User Role = Is purely for setting a Users access rights.
  • Engineer = Is just a name which can be selected for the relevant “tested by” sections of a certificate.
  • A subscription might also be referred to as a seat or licence.
  • Note: When you add a new User, an Engineer is also automatically added with the same name.
  • You can edit the Engineer details in the Engineers > Edit (editor) screen.

  • You can edit your company details in the My Companies > Edit Icon > Editor Screen.

When you initially sign up, your company name is set to the email address which you signed up with (i.e. Company: info@abc.co.uk) . You can change this within the My Companies section, there is no need to add another company to set your company information.

If you have more than one company, have subsidiaries, different branches or are part of other brands, and the engineers work across all of them, you can add the additional companies in the My Companies section.

Some may use this feature if they sub-contact to other companies/contractors, meaning they can produce certificates under the main contractors banner (with their permission).

  • Company Settings

Within the Company Settings area you can set the default in-app settings and push them down to all devices. The devices will pick up any changes made here the next time the user syncs their device.

Options include:

  • Company name.
  • Certificate primary colour.
  • Certificate secondary colour.
  • Turn on/off automatic cloud sync.
  • Lock/unlock the settings area of the Pro Certs app.
  • Your Subscriptions

Each user that requires access to the Pro Certs App requires a subscription. You can purchase subscriptions from the Your Subscriptions screen.

Enter the number of subscriptions your require (1 per user) and follow the payment process.

Once the payment process has completed, you will need to allocate the subscription(s) to the specific user(s).

  • Users & Settings > User > Subscription by renewal date

After purchasing a subscription, you will then need to allocate the subscription to a specific user.

  • Edit Icon

Navigate to the Users & Settings area and select the Edit icon for the User to whom you want to allocate a subscription to.

Subscription by renewal date: Select a valid subscription from the drop down options so the user can access the Pro Certs App.

If there are no valid subscriptions in the drop down options (i.e. the only option is “Leave unseated” or only expired dates), then you will need to purchase one if they require access to the Pro Certs App.

  • Users & Settings > Add User

Click the green ADD USER button at the top right corner of the Users & Settings screen to add a new user to your account.

Enter the new users details and set their password.

Subscription by renewal date: Select a valid subscription from the drop down options so the user can access the Pro Certs App. If there are no valid subscriptions in the drop down options (i.e. the only option is “Leave unseated” or only expired dates) then you will need to purchase one if they require access to the Pro Certs App.

Role: Select the User Role.

  • Engineer = Access to the Pro Certs App only.
  • Company Admin = Access to the Management Web Portal only.
  • QS = Access to the Management Web Portal and the Pro Certs app.

  • Note: When you add a new User, an Engineer is also automatically added with the same name.

A user role sets the user access rights (permissions).

User roles include:

  • Company Admin = A User (person) who can only access the Management Web Portal.
  • Engineer = A User (person) who can only access the Pro Certs App.
  • QS = A User (person) who can access the Management Web Portal and the Pro Certs App.

  • Note: The User Role of Engineer is not to be confused with the actual Engineers section, a User Role is purely for setting the Users access rights.

Account Holder = The User (person) who initially signed up for an account and can access the Management Web Portal and the Pro Certs App (this is set automatically when you sign up).

  • Engineers

An Engineer is automatically added when you add a User.

Within the Engineers > Edit screen you can edit/update the following parameters,

  • Position (Job title).
  • Test kit serial numbers.
  • Signature (upload an image or use the on-screen signature pad).
  • Contact phone number.
  • Contact email address.

The engineer contact phone number and email address are purely for your reference only and are not used within any of the electrical certificates.

FAQ’s

Frequently asked questions and other related information for the Management Web Portal.

A: On occasions, emails can end up in your spam box or blocked by your email service provider or the ISP.

If you haven’t received your sign up verification email or password reset email, contact us and we will manually verify your email or reset your password for you.

Important: You must email us from your registered email address.

A: Payments for subscriptions via the Management Web Portal are made through (and handled by) PayPal, you can log in to your PayPal account to view and print all your purchase receipts.

A receipt is emailed to you directly from PayPal upon a successful purchase.

A: Opening or editing certificates can only be done via the actual Pro Certs app.

In the Management Portal you can initiate new certificates and move (reallocate) certificates between different users.
